Checklist for a successful event

WELL BEFORE THE CONCERT (If appropriate or applicable)

[ ] Date Conflicts checked (What else is going on in the area that night, that weekend?)
[ ] Appropriate room or hall arranged for. (smaller rather than larger)
[ ] Sound & lights arranged for (smaller rather than larger)
[ ] Lights checked for performers ability to see faces in audience.

Contracts (or letter of confirmation) [ ] received [ ] sent [ ] Publicity started
[ ] Stuff sent to papers (photos, press releases [vital information in 1st paragraph])
[ ] Stuff sent to radio & TV stations (for Public Service Announcements, etc.)
[ ] Posters prepared
[ ] Posters put up [ ] 3-4 weeks before [ ] 2 weeks before [ ] 1 week before
[ ] Calls made to potential attendees, radio stations, etc.

[ ] Directions, maps sent
[ ] Discussed (with performer), or wrote (well in advance):
- Who the audience is likely to be
- Technical Requirements (microphones, etc.)
- Recording sales
- Recording of the concert
- Accommodations, meals
- Dinner before the show (when, where)
- After-Concert Parties, Reception

[ ] Accommodations arranged for
[ ] Card sent with reminders of pertinent details (date, where, contact person, phone numbers, accommodations, etc.)
[ ] Backstage Refreshments arranged for
[ ] Recording sales (volunteer) arranged for
[ ] Security (volunteer) for instruments, etc. arranged for
[ ] Music to be played before and between sets chosen and put with stuff to go to concert
[ ] Publicity barrage continues
[ ] Tape Recorders policy established
[ ] Master of Ceremonies (Introductions and Extroductions person) arranged for [ ] Stage Manager arranged for (who does the hard stuff, like stopping a performer going too long)
[ ] Stage decorations (plants, flowers, pretty carpet, nice chair & table, what else?) arranged for

CHECKLIST -- CONCERT DAY (If appropriate or applicable)

[ ] Performers mail, decorations, refreshments, etc. brought to concert hall
[ ] Sound & lights set up in plenty of time for checks
[ ] Parking space [or more] saved (one way or another) (as close as possible to the door that's nearest the stage)
[ ] Backstage refreshments set up
[ ] Recording sales table and person set up
[ ] Security for instruments, etc. arranged
[ ] Music to be played before and between sets given to sound person
[ ] Someone appointed to speak to Noisy Audience Members

[ ] Performers mail (if any) given upon arrival
[ ] Alerted the performer(s) before opening the doors
[ ] Opening act reminded about keeping it short
[ ] "Five-minutes!" warning given
[ ] Start on time
[ ] Introductions and Extroductions

CHECKLIST -- AFTER THE CONCERT

[ ] Arranged for performer to get to (at least to find) after-concert party
[ ] Hospitality
[ ] Reviews (2 copies?), if any, saved and sent. (whole section, maybe whole paper)
